Job Overall Purpose

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

Job Responsibilities

  • Greet clients, visitors, and guests as they enter into office.
  • Schedule, reschedule and cancel appointments.
  • Provide information regarding products or services of the company.
  • Answer inquiries on the availability of a personnel.
  • Answer telephone calls and redirecting calls to the appropriate person with proper handover.
  • Respond to assigned emails and office correspondence.
  • Assist in resolving clients’ issues and complaints.
  • Assist visitors in filling out Subscription registration forms.
  • Update payments sent by subscribers.
  • Perform data entry and filing activities.
  • Create quotations or invoices requested by subscribers and subscription team.
  • Sort and distribute incoming mail, newspapers and magazines
  • Assist with staff enquiries regarding office, toiletries and pantry
  • Perform data entry and filing activities.

Job Requirement / Qualifications

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree; additional certification in Office Management is a plus
