Job Overall Purpose
We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Job Responsibilities
- Greet clients, visitors, and guests as they enter into office.
- Schedule, reschedule and cancel appointments.
- Provide information regarding products or services of the company.
- Answer inquiries on the availability of a personnel.
- Answer telephone calls and redirecting calls to the appropriate person with proper handover.
- Respond to assigned emails and office correspondence.
- Assist in resolving clients’ issues and complaints.
- Assist visitors in filling out Subscription registration forms.
- Update payments sent by subscribers.
- Perform data entry and filing activities.
- Create quotations or invoices requested by subscribers and subscription team.
- Sort and distribute incoming mail, newspapers and magazines
- Assist with staff enquiries regarding office, toiletries and pantry
- Perform data entry and filing activities.
Job Requirement / Qualifications
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
